Position Responsibilities
The Administrative Assistant to the President is a senior administrative role that provides organizational and planning support for the President and the President’s office by managing administrative details, schedules, events, and phone/email correspondence. The position also serves as a liaison and primary point of contact for the President’s office with other university offices, the university’s Board of Trustees, students, faculty and staff as well as external partners. Job responsibilities include:
  • Draft correspondence for the President from dictation and distribute as directed
  • Coordinate the calendar and activities for the President and the President’s office
  • Brief the President daily regarding calendar, events, requests and correspondence as well as other key matters
  • Coordinate meeting plans, event logistics and communications related to the Board of Trustees and the President’s cabinet
  • Serve as the Assistant Secretary for the university Board of Trustees, recording meeting minutes, archiving materials and certifying documents
  • Arrange and assist with planning for university events including convocations, graduations, and ceremonies
  • Manage the operations of the President’s office: reviewing budgets, reconciling invoices and credit card statements, ordering supplies and scheduling
  • Support other annual processes for the President’s office, such as the issuing staff contracts, performance reviews, year-end reports, and other announcements
  • Occasional travel to Twin Cities and Rochester campuses for related meetings and events
Essential Skills and Abilities
The ideal candidate will have:
  • Strong interpersonal, verbal and written communication and organizational skills
  • Sound professional judgement and ethical decision making
  • Proficiency in MS Office products, database utilization, and report generation
  • Proficiency drafting professional correspondence through dictation
  • Confidentiality, discretion, learning agility, and flexibility
  • Experience tracking data such as budgets, student enrollments, and other metrics

Education and Experience
  • Associate’s degree preferred, or commensurate level of experience
  • Experience in higher education strongly preferred
  • At least 5 years of experience providing administrative support to C-level professionals
