Position Responsibilities

Saint Mary’s University of Minnesota is seeking an entry level Administrative Assistant to support the office of the Dean of Sciences and Health Professions.  Reporting to the Dean of Sciences and Health Professions, this position performs a wide swath of administrative support activities in a fast-paced and dynamic environment in support of the dean’s priorities and the university’s and schools’ mission, values, and goals.  This position also supports the dean’s offices in Minneapolis and Winona, as well as activities in Rochester and surrounding areas.  

The person in this role:

  • Serves as the main point of contact for individuals seeking to speak with and meet with the dean, and assists with management of the dean’s calendar by scheduling appointments.
  • Assists in coordination of communication between the dean and members of the Graduate School of Health and Human Services (GSHHS) and John C. Parmer School of the Sciences (JCPSS).  
  • Schedules in-person and Zoom meetings, reserves meeting rooms, and provides on-site technology assistance with video and teleconference connections. 
  • Leads the coordination and distribution of Science and Health Professions newsletter(s) and emails, and assists the dean’s office with digital literacy and social media engagement.  
  • Performs web research and dossier development for dean in support of preparation for meetings and special projects.
  • Coordinates with dean and assistant dean in scheduling and planning of various meetings and special events.
  • Works with the Marketing team to construct and distribute e-mail, web-based, and print marketing materials.  
  • Coordinates with the university’s internal units to advance regular and special projects and needs.  
  • Travels to Winona and/or Rochester 3-4 times per year to participate in face-to-face meetings and internal and external relationship building.  
  • Assists with Schools of Graduate and Professional Programs commencements three Saturdays per year.  
  • Performs other such duties as assigned by dean and assistant/associate dean.

  The successful candidate must support, respect, and advance the mission of Saint Mary's University as a Lasallian Catholic institution.
Education and Experience
  • Associate’s degree or commensurate direct experience is required; bachelor’s degree preferred.  
  • Experience supporting a leadership team is preferred.  
  • Advanced level experience with Microsoft Office suite, particularly Word, Excel, and PowerPoint.
  • Comfort with the dress, communication, and professional etiquette expected in a professional office environment.
