Position Responsibilities

The Administrative Assistant to the Vice President for Advancement is a senior administrative role that provides organizational and planning support for the VP and the VP’s team by proactively managing administrative details, schedules, events, and phone/email correspondence. The position also serves as a liaison and primary point of contact for the VP’s office with other university offices, the university’s Board of Trustees, students, faculty and staff as well as external partners.

  • Coordinates the calendar, travel arrangements, and activities for the VP and the VP’s office.
  • Briefs the VP on a regular basis and additionally as needed regarding calendar, events, requests, meetings, and correspondence as well as other key matters.
  • Coordinates meeting plans, event logistics, and communications related to the Board of Trustees, benefactors, and alumni.
  • Assists with the implementation and set-up for key university events including convocations, graduations, and other ceremonies.
  • Manages the operations of the VP’s office to include reviewing budgets, reconciling invoices and credit card statements, ordering supplies and scheduling. 
  • Supports other annual processes for the VP’s office, such as year-end reports and other announcements and seasonal events.
  • Other duties as assigned or at the direction of the President as needed.

  • Ability to proactively anticipate needs and with a sense of urgency act to coordinate people, places, and things to meet those needs.
  • Strong interpersonal, verbal and written communication and organizational skills.
  • Sound professional judgement and ethical decision making.
  • Proficiency in MS Office products, database utilization, and report generation.
  • Proficiency drafting professional correspondence.
  • Confidentiality, discretion, learning agility, and flexibility.
  The successful candidate must support, respect, and advance the mission of Saint Mary's University as a Lasallian Catholic institution.
Education and Experience
  • Associate’s degree preferred, or commensurate level of experience.
  • Experience in higher education strongly preferred.
  • Experience tracking data such as budgets, donor/benefactor information, and other metrics.
  • At least 5 years of experience providing administrative support to C-level professionals.
