Position Responsibilities

Saint Mary’s University of Minnesota is seeking an Administrative Assistant to support the day to day office operations for Career Services and the Jay Johnson Wellness Center. In addition to performing essential administrative functions, this role serves as the first contact for students seeking services in the Jay Johnson Wellness Center. This position also serves as a liaison between students, staff, and university departments.  

Responsibilities for both offices:

  • Coordinate communications to students, staff, and faculty including via email, social media, and Marketing & Communications publications
  • Assist with scheduling rooms within the office and university
  • Provide other clerical support to staff as requested
  • Answer phones; take and deliver messages 
  • Oversee student workers/interns in day to day projects and tasks
  • Maintain and organize office supplies and forms

Responsibilities specific to Career Services:

  • Manage content for website (including Handshake, Interview Stream, CareerSpots, etc.) and promotional materials
  • Assist in the coordination of career fairs, workshops and events sponsored through the office
  • Other duties as interest and availability provide including: resume review, interview prep, etc.

Responsibilities specific to the Jay Johnson Wellness Center:

  • Schedule appointments for students requesting health services
  • Greet and direct individuals entering the Wellness Center
  • Respond to medical records requests as needed
  • Participate in the coordination of immunization tracking in accordance with Minnesota state law

  • Proficiency in MS Office products, Google Suite as well as database utilization and report generation

Education and Experience
  • High School diploma required; Associate’s degree or higher preferred
  • Minimum of one year of office or relevant experience preferred
