Position Responsibilities

The Administrative Assistant to the joint office of Mission, Inclusion and Human Dignity, and Character Virtue Ethics provides operational and planning support for the Vice President of Inclusion and Human Dignity, the Vice President of Mission and Ministry, and the Vice President for Character, Virtue, and Ethics. This role will manage administrative activities, schedules, events, and correspondence. The position also serves as a liaison for the Vice Presidents with other university offices, faculty, staff, and students as well as external partners.

  • Coordinate calendars and scheduling activities for the Vice Presidents, including planning, preparations, and logistics.
  • Manage the operations of the Vice Presidents’ office:  answering phones, ordering supplies, reconciling and processing invoices and credit card statements, and providing general clerical support.
  • Support annual planning processes for the Vice Presidents’ office, such as strategic planning, performance reviews, and year-end reports.
  • Prioritize and coordinate key projects for the Vice Presidents, including Board of Trustees reports and university presentations.

  • Sound professional judgement and ethical decision making
  • Ability to manage multiple projects simultaneously
  • Proficiency in Microsoft Office products and Google Workplace
  • Proficiency drafting professional correspondence
  • Confidentiality, discretion, emotional intelligence, learning agility, and flexibility
  The successful candidate must support, respect, and advance the mission of Saint Mary's University as a Lasallian Catholic institution.
Education and Experience
  • Associate’s degree or commensurate level of experience required; Bachelor’s degree preferred
  • Experience in higher education preferred
  • Experience providing administrative support to executive-level professionals preferred
