Position Responsibilities
The Campus Events & Experience Coordinator will work in collaboration with Office of Admission staff to serve as the primary point of contact and coordinator for all College enrollment events. Planning and scheduling efforts will include all on-campus visitation programs and ensure a positive experience for students and families participating in admission recruitment events. This position will serve as a planner and point of contact between the Office of Admission and event & campus visit attendees, events management staff, vendors, and internal and external constituents including faculty and staff.  The coordinator will collaborate with academic departments and athletic coaches to ensure their contribution and participation in recruitment events. 
  • Plan event aspects, such as venue, seating, dining, and guest list; anticipate and plan for possible different scenarios.
  • Maintain pre-visit and post-visit communication flow and evaluation reports. 
  • Understand the complex needs of different events and diverse clients.
  • Maintain a working relationship with vendors and venues.
  • Coordinate event entertainment, including music, performers, and guest speakers.
  • Create opportunities for future events during client liaisons and during events.
  • Communicate with marketing team to create effective advertisements for each event.
  • Issue invoices and collect payments in a timely manner, and create comprehensive and readable financial reports.
  • Manage and oversee events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors, and managing take-down.
  • Co-lead the Student Ambassadors-Work Study Students, with joint supervision provided by the Associate Director of Admission.
  • Attentive to budgets while planning event specifications.
Essential Skills and Abilities
  • Ability to delegate event planning tasks to other staff members where necessary.
  • Strong knowledge of venues and vendor offerings while taking clients on tours of venue possibilities.
  • Strong communication skills, and the ability to present event ideas and plans to client and vendors.
  • Ability to work in a busy, fast paced environment with frequent interruptions.
  • Demonstrated commitment to customer service.
  • Flexibility to work evenings and weekends as needed.

Education and Experience
  • Bachelor's degree required.
  • Event coordination experience preferred.
  • Experience in university admissions preferred.
  • Excellent data entry accuracy is essential.
  • Highly proficient in Microsoft Office Suite and complex computer systems including Sales Force CRM.
