Position Responsibilities

The Director of Event Services will coordinate and manage all aspects involved in providing successful events and camps at Saint Mary’s University of Minnesota’s Winona and Saint Teresa campuses. This position collaborates with internal and external contacts to coordinate, manage, and organize event needs. 

  • Master the scheduling software, understanding how to approve and schedule rooms and resources to ensure successful events.
  • Provide prompt responses to inquiries, questions, or concerns regarding our services or facilities.
  • Build and maintain good working relationships with University service areas.
  • Complete and maintain event paperwork, including contracts, invoices, evaluations, insurance, immunization records, and tax forms in a timely manner.  
  • Coordinate with the office of Communications and Marketing on the development of promotional materials and the enhancement of web information regarding Event Services and Camps.
  • In a fiscally responsible manner, create, monitor, and maintain department budget information.
  • Actively participate in community organizations to represent, promote, and increase the visibility of Saint Mary’s in the greater community.
  • Supervise, train, schedule, and manage office staff, including the Event Services Associate, student workers and interns.
  • Participate in personal development opportunities that will aid in the performance of office expectations and duties.
  • Effectively collaborate and communicate with other departments as needed for the success of events and camps, via emails, phone calls, or regularly scheduled meetings.

  • Effectively train and supervise office staff to assist in maintaining best practices and industry standards.

  • Effective problem-solving skills.
  • Ability to work both independently and in a team.
  • Strong verbal and written communication skills.
  • Proficient in Excel, Google Docs, and Microsoft Office.
  • Proven ability to exercise good judgment in recognizing the scope of authority.
  • Ability to maintain relationships that facilitate task accomplishments. 
  • Ability to take initiative to complete projects and duties as assigned.
  • Strong project management and planning skills. 
  • Excellent organization skills and attention to detail. 
  • Respect confidentiality in discussing visitors, clients, staff, and organizational matters.
  • Work events as needed/scheduled. Will involve working some nights and weekends.

Education and Experience
  • Bachelor’s degree.
  • Experience working in a customer service field and/or experience working in event services required.
