Position Responsibilities

Saint Mary’s University of Minnesota seeks a Human Resources Specialist to support and facilitate human resources daily operations and processes in the areas of record keeping, file maintenance, employee benefits administration, employee pre-employment administration and onboarding, and HRIS reporting and administration. The person in this highly collaborative, detail oriented and fast paced role has contact with a variety of employee groups and functional leaders throughout the university, understands HR processes and systems, delivers quality work under tight deadlines, and exemplifies customer service in every interaction. In all job responsibilities, this role must support, respect, and advance the mission of Saint Mary's University as a Lasallian Catholic institution.

Specifically, the HR Specialist 

  • Provides administrative assistance to the HR department in scheduling meetings, clerical support on ad hoc projects, and other support services.
  • Maintains and files electronic and paper HR records and reports, including personnel files, applicant logs, termination/hire logs, organization charts, position approval and status change requests, job descriptions, performance appraisals, and I-9 forms. 
  • Prepares correspondence, makes photocopies, scans/faxes documents, processes mail, and performs other related office functions.
  • Assists with the digital onboarding process for new employees to include preparation of offer letters and status change letters, scheduling new employee orientation, accurate and timely completion of employment paperwork, sexual harassment training and background checks as appropriate.
  • Interacts with HRIS databases (Greenshades and Great Plains) to retrieve information and prepare reports as needed.
  • Supports the administration of employee enrollments, changes, and terminations to group benefit plans, COBRA administration, and other SMU benefits.
  • Maintains the university’s intranet page for HR resources.
  • Maintains departmental forms, procedures, and processes, assisting with revisions as directed. 
  • Maintains and orders office supplies.
  • Performs other duties as assigned.

  • Dependability—is consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance.
  • Familiarity with federal, state, and local employment law (i.e. FLSA, FMLA, ADA, ERISA, ACA) 
  • Self-motivated with the ability to operate independently, work proactively, and achieve results without close supervision.

Education and Experience
  • An associate’s degree in Human Resource Management, or 2+ years HR experience, or any similar combination of education and experience is required.
  • Prior knowledge of human resource principles and practices preferred.
  • Computer proficiency in MS Word, Excel and PowerPoint, email, and the Internet is required.
  • Prior working knowledge and experience with an HRIS database preferred.
