Position Responsibilities

Saint Mary’s University of Minnesota is seeking a Program Coordinator to provide administrative services to the program director, faculty, and students of the Bachelor of Science Nursing Programs (RN-BSN Post-Licensure Program and BSN Pre-Licensure Program). Working closely with the program director, nursing faculty, admissions staff, online partners, and nursing committees and councils, the Program Coordinator provides academic program assistance, administrative support, front-line customer service, and event coordination in support of a centralized student experience. This position is critical in helping us meet our mission of preparing compassionate, competent, and professional nurses through a transformative and holistic curriculum.  We are looking for an enthusiastic, motivated, and personable individual with strong communication skills to join our team.

Key elements of the position include assisting the Program Director with day-to-day program tasks, such as:

Administrative Support

  • Coordinate multiple schedules to arrange meetings
  • Maintain updated student, faculty, and clinical site files
  • Organize and maintain documentation for specialty accreditation reporting with the Director of Accreditation and Compliance
  • Coordinate meetings for Nursing Advisory Council
  • Record meeting minutes and maintain archive
  • Develop course offerings and schedules and communicate with Registrar
  • Plan and facilitate events such as new student orientation, prospective student tours, nursing interview day, benefactor gatherings, and guest speakers
  • Order supplies and ensure payment of annual dues and fees as directed by Program Director
  • Assist in program review and annual reporting

Student Support 

  • Work with admissions office to arrange meetings for prospective students and nursing faculty
  • Give tours of nursing suite to prospective students
  • Answer questions regarding program requirements and licensure
  • Track student progress and degree audits
  • Communicate with students and clinical partners regarding site selection, requirements, credentialing, onboarding, and affiliation agreements
  • Create a schedule for academic advising meetings
  • Finalize all graduation requirements for degree completion

Faculty Support

  • Update and archive course syllabi
  • Place textbook orders
  • Set up course materials in Learning Management System (Canvas), orient new faculty to systems
  • Submit payment requests

The Program Coordinator responsibilities may also include other duties, such as assisting other programs and/or training new Program Coordinators and Directors as needed.

  • Creativity in identifying resources and solutions for problems
  • Flexibility to adapt to the ever changing demands each day brings

Education and Experience
  • Bachelor’s degree preferred; commensurate professional experience may be substituted. 
  • Experience in office, administrative, or customer service positions preferred.
