Position Responsibilities

Saint Mary’s University of Minnesota is seeking applications for a Student Services Specialist to provide high levels of customer service primarily related to programs in the Schools of Graduate and Professional Programs on our Minneapolis campus. This position provides assistance related to financial aid processing and awards, tuition accounts, payment plans, and registration processes. This role provides information about SMU and its policies and procedures to prospective and current students. The Student Services Specialist will assist and advise students in the following areas:

 Registration Services

  • Guide students on all aspects of registration, and course drops and withdrawals.
  • Assist student with registration upon enrollment.
  • Advise students on the process for appeals for grade/tuition for drops or withdrawals.
  • Assist students with registration holds due to billing, status etc.
  • Assist students with all aspects of the course schedule.
  • Advise students on grading and appeal process.
  • Change of name, address or other personal information.

Tuition & Billing

  • Advise students on how to understand bill, how to understand tuition account, and when is bill due, how to make a payment, payment options, and past due charges.
  • Explain tuition refund or return to title IV.
  • Look into billing issues including requests to waive late fees.
  • Request refunds to be issued.
  • Employer reimbursement documents including tuition paid and grade verifications.
  • Invoicing of third parties.
  • 1098T explanation and issuance.

Financial Aid

  • Advise students on the Financial Aid process, including FAFSA, disbursement dates for loans and grants, accepting awards and assist students in determining how much to borrow, direct deposit of refund.
  • Assist in resolving FAFSA problems and verification paperwork & taxes.
  • Help manage all aspects of communication with students.
  • Serves as liaison with other university offices.

Education and Experience

Bachelor’s degree required. 1-3 years of work experience in higher education, student services, or
other customer service related fields required.
