Position Responsibilities

Saint Mary’s University of Minnesota is seeking a Talent Acquisition Specialist to join our HR team on the Winona campus. The specialist is responsible for the recruiting process workflow from position request through onboarding of new employees. This position serves as the main point of contact for the university’s talent acquisition platform for hiring managers, search committees, and applicants. This role will generate employment contracts for new employees upon hire and existing employees annually. Job responsibilities include:

  • Manage the recruiting process workflow from position request to day one onboarding.
  • Serve as point of contact for iCIMS, the university’s talent acquisition platform, by providing consultation and training for new users, and making requests for programming changes/upgrades to improve platform performance.
  • Conduct online new employee onboarding, ensuring the process is engaging for new hires and that processes and information are updated to reflect changing conditions. 
  • Process new position requests, confirming that current job description, pay range, FTE status, and other key details are in place before posting.
  • Assist hiring managers with creating job posting text, ensuring that text conforms to Saint Mary’s standards and categories.
  • Post job openings to internal and external job boards and manage vendor relationships and associated budgets.
  • Conduct online pre-interview applicant screening for non-key searches.
  • Respond to applicant requests as needed to solve problems and upload required information.
  • Collaborate with search committee chairs and hiring managers to ensure a fair and objective applicant evaluation process.
  • Communicate with departments and candidates to schedule video interviews, on-campus interviews, itineraries and related travel logistics.
  • Coordinate the approval process for position requests and new hire salary requests.
  • Create offer letters, maintain applicant tracking system, recruiting reports and other staffing administration functions as needed.
  • Assist with the annual contract distribution process for college faculty and exempt employees university-wide.
  • Track and report on applicant job board metrics, making recommendations on job board usage to maximize applicant traffic.
  • Perform other duties and responsibilities as assigned.

  • Dependability—is consistently at work and on time, follows instructions, responds to management direction and solicits feedback to improve performance.
  • Working knowledge of federal, state, and local employment law (i.e. FLSA, Wage and Hour).
  • Self-motivated with the ability to operate independently, work proactively, and achieve results without close supervision.

Education and Experience
  • Associates or Bachelor’s degree preferred.
  • Two years of human resources, talent acquisition and interviewing experience preferred. 
  • Prior knowledge of principles and practices of human resources administration, with particular emphasis on the talent acquisition life cycle. 
  • Computer proficiency in MS Word and Excel, Gmail, internet search methods, with sufficient computer literacy to learn the applicant tracking system and complex HRIS systems.
  • Prior working knowledge and experience with an HRIS database preferred.
