Google Calendar drop in meeting offered by IT

Google Calendar, which is part of our Google Suite, helps to ease the painful scheduling process. As we strive to be more efficient, Saint Mary’s University is now urging all staff and faculty to utilize Google Calendar and keep it up to date.

Google’s default setting is to allow all Saint Mary’s users to see ONLY your free/busy information on your calendar. No one can see the details of any meeting (title, attendees, etc.) unless you specifically share your entire calendar with them or mark the individual meeting as public. Saint Mary’s is asking everyone to leave this default setting marked and to change it back if you have previously changed it.

To check your settings:

  1. On your computer, open Google Calendar.
  2. On the left, find the “my calendars” section. You might need to click it to expand it. Point to the calendar you want to share or unshare, click the and then click settings and sharing.
  3. Under “access permissions,” the second box should be checked “make available for Saint Mary’s University of Minnesota.” See only free/busy (hide details).
